UCT is seeking an experienced and talented Administrative Assistant to join our team in Hillsboro, OR! The Administrative Assistant generally provides support to specific departments or teams in a company (such as Operations, Human Resources, Accounting, Sales, Marketing, or Information Technology).

Essential Duties and Responsibilities:

  • Provides administrative support with duties that include answering phones, delivering messages, data entry, creating and maintaining logs, creating Excel spreadsheets and charts, PowerPoint presentations, scheduling appointments, filing, and other tasks as requested.
  • Maintains general office systems and functions including ordering office supplies, sorting and distributing incoming and outgoing mail, updating postage machine, break room supply order management, ordering, and coordinating catering deliveries.
  • Create and manage an Event Committee made up of site employees that communicate an interest in site activities.
  • Plan and coordinate monthly employee engagement activities, with support of the Event Committee, for all site employees.
  • Coordinate with other UCT sites and corporate offices to share information and provide regular reports on items of shared interest.
  • Create, reconcile, and get appropriate approvals for expense reports (using Excel formatted document).
  • Process and issue approved Spot Awards, and track in Excel.
  • Create and issue Service Award Certificates, and track in Excel.
  • Issue and track Safety Shoe Vouchers and Safety Glass Request Orders.
  • Manage and maintain UCT’s Trip Reduction Program, in partnership with Maricopa County. This includes employee registration assistance, bus passes awarded, prizes awarded and tracking documentation as well.
  • Works on special projects, as requested, to support the site.

Knowledge, Skills, and Abilities:

  • Working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Access, or similar programs required.
  • Strong organizational skills, and ability to multitask.
  • Excellent verbal and written communication skills.
  • Ability to compose and proof correspondence, prioritize, and self-manage with general direction.

Educational/Certification Requirement:

  • High school diploma, or equivalent.

Experience Requirement:

Work Experience:

  • 2+ years’ general office experience supporting a variety of functions.
